Who handles your data

The booking and patient-support system "Tokyo Traveler Medical" is operated by Vylroh Co., Ltd. ("Vylroh"), a corporation incorporated in Japan (Kita-Aoyama, Minato-ku, Tokyo).

Medical care and the medical record are provided and held by Fujimi Clinic ("the Clinic"), an individually-operated medical clinic in Ota-ku, Tokyo (founder & director: Hiroshi Kawamoto).

Information collected

  • Name, contact details (email), date of birth, country of origin
  • Hotel name and stay information (for house-call bookings)
  • Symptoms and medical interview answers
  • Weight (for pediatric dosing calculations)
  • Pharmacy preference and area
  • Payment information (processed securely by Stripe)
  • Communications: chat messages and DeepL-translated content between you and clinic staff

How it is used

  • Booking and appointment management
  • Medical care by the Clinic
  • Payment processing and refunds (via Stripe)
  • Medical report generation (available for download on My Page)
  • Communication and multilingual patient support
  • Service improvement and anonymized analysis

Payment information is processed by Stripe and relevant financial institutions as necessary to complete payment, refunds, fraud prevention, and related administrative procedures.

Sharing with third parties

The Clinic will not send your medical information or medical reports to overseas insurers, travel-assistance companies, hotels, or other third parties unless you separately request or agree to it, or unless required by law.

You may download your own medical report from My Page and submit it to your insurer, travel-assistance company, or other parties at your own discretion.

Storage and security

Your data is stored using secure cloud-based services. Access is restricted to authorized clinic and system staff. Payment card data is handled exclusively by Stripe and never stored on our servers.

Data retention — 90-day policy

90 days after your appointment, the following are automatically deleted or anonymized: medical interview details, chat messages, medical summaries, date of birth, weight, hotel address / room number, and pharmacy area.

After 90 days, we retain only the minimum necessary data:

  • Name and email address
  • Appointment date, service type, status, and attending doctor
  • Payment records (Stripe payment IDs and refund status)
  • A minimal location label: for hotel visits, hotel name and ward/area only (no room number or full address); for online consultations, only the pharmacy actually selected; for clinic visits, the label "Clinic visit" only

Booking for others (family / guardian)

If you book for another person, you confirm that you are authorized to provide their personal and medical information, or that you will obtain the patient's or guardian's consent as applicable before or at the time of the appointment.

You may request access to, correction of, or deletion of your personal data at any time by contacting:

We will respond within a reasonable timeframe in accordance with applicable Japanese law.
